This policy explains how Derby Place Gardens Naivasha uses personal information collected through this website and when you contact us. We are based at Moi South Lake Road, Naivasha, Kenya, and we are responsible for the information described here under Kenya’s Data Protection Act, 2019.
What we collect
When you send a booking request or enquiry
Your name, phone or WhatsApp number, email address (if you give one), the date and time you want, the number of guests, the type of booking, and any notes you write. For private hire we also record the occasion you choose.
When you message us on WhatsApp or call
Your phone number and the contents of your message or call. WhatsApp messages are also handled by WhatsApp under its own terms and privacy policy.
When you visit the website
Like all websites, our web host receives technical information when a page loads, such as your IP address, browser type and the pages you open. To limit repeated or automated form submissions, we also keep a scrambled (hashed) version of your IP address for one hour. We do not use advertising or analytics cookies or trackers on this website.
Why we use it
- To read, confirm, change or decline your booking, and to contact you about it. This is what you ask us to do when you send a request.
- To prepare for your visit, for example to set a table or a room.
- To keep a record of bookings, handle complaints and protect the website from misuse.
We do not sell your personal information, and we do not use it for advertising.
Who sees it
Booking requests are stored in our website’s private admin area, where only our staff can see them, and our team may be notified by email. We share information only with people who help us run the website and the service:
- Our website host, Fly.io, which runs our website and its database on servers in Johannesburg, South Africa. This means your information can be processed outside Kenya.
- Google, which provides the fonts this website loads and the maps on our home and contact pages. When these load, Google can see your IP address and that you visited our page.
- WhatsApp (Meta), when you choose to message us there.
We also link to Instagram and TikTok. If you follow those links, their privacy policies apply. We may share information if the law requires us to.
How long we keep it
We keep booking records for up to 24 months after the booking date, so we can answer questions and handle disputes, and then delete or anonymise them. Technical logs from our web host are kept for a short time. WhatsApp conversations are kept for as long as we need them to look after your booking, and you can ask us to delete them.
Keeping it safe
This website uses an encrypted (HTTPS) connection. Booking records can be seen only by staff who sign in to our admin area. No system is completely secure, but we take reasonable care to protect your information.
Your rights
Under the Data Protection Act, 2019 you have the right to know what information we hold about you, to ask for a copy, to ask us to correct it, to ask us to delete it, and to object to how we use it. To use any of these rights, message us on WhatsApp or call +254 725 369 375, or tell a member of our team at the venue. We will reply as soon as we can.
If you are not happy with how we handle your information, you can complain to the Office of the Data Protection Commissioner of Kenya at www.odpc.go.ke.
Children
This website is not meant for children. Bookings should be made by an adult.
Changes to this policy
We may update this policy. The date at the top of this page shows when it was last changed.
